ORGANIZATIONAL STRUCTURE

MINISTRY OF JOB DESCRIPTION

A. CABINET SECRETARY

  1. Assisting the Student President and Student Vice President in maintaining the stability of the Cabinet at BEM KBM POLINES
  2. Create a comprehensive work SOP scheme along with a proportional organizational administration flow at the beginning of management.
  3. In charge of managing letters related to BEM or addressed to Presma and Wapresma in terms of preparing schedules and permits for Presma and Wapresma.
  4. Recapitulating data on violations of regulations by BEM functionaries and acting as enforcers of regulations.
  5. In charge of providing cabinet management support to Presma and Wapresma BEM KBM POLINES in cabinet work.
  6. Organize and coordinate fixed meeting schedules for one period.
  7. Providing technical support in making BEM KBM POLINES Regulations.

B. INTERNAL COORDINATING MINISTER

  1. Assist the Student President and Student Vice President in maintaining the stability of the ministries that are sheltered in the BEM KBM Polines.
  2. Oversees the Ministry of Home Affairs, the Ministry of HRM and the Ministry of Religion to coordinate with each other and run according to their duties and functions.
  3. Make efforts to improve the performance of the ministry that is shaded.
  4. Provide advice/input/recommendations regarding the problems faced by the ministry that is shaded.
  5. Representing the Student President and Student Vice President in every coordination agenda with the institution as long as it is needed.
  6. Supervise and evaluate all ministerial functionaries under the auspices, both openly and privately.
  7. Recapitulating data on regulatory violations carried out by BEM functionaries at the ministries that are shaded and acting as law enforcers.
  8. Organize and coordinate regular meeting schedules in each ministry under the Cabinet Secretariat.

C. MINISTER OF STUDENT COORDINATOR

  1. Assist the Student President and Student Vice President in maintaining the stability of the ministries that are sheltered in the BEM KBM Polines.
  2. Oversees the Ministry of Talent Interest, the Ministry of Research and Reasoning, the Ministry of Creative Economy and the Ministry of Advocacy and Student Welfare to coordinate with each other and work according to their duties and functions.
  3. Make efforts to improve the performance of the ministry that is shaded.
  4. Provide advice/input/recommendations regarding the problems faced by the ministry that is shaded.
  5. Representing the Student President and Student Vice President in every coordination agenda with the institution as long as it is needed.
  6. Supervise and evaluate all ministerial functionaries under the auspices, both openly and privately.
  7. Recapitulating data on regulatory violations carried out by BEM functionaries at the ministries that are shaded and acting as law enforcers.

D. COORDINATING MINISTER FOR EXTERNAL

  2. Oversees the Ministry of Foreign Affairs, the Ministry of Social Affairs, and the Ministry of Social and Political Affairs to coordinate with each other and run according to their duties and functions.
  3. Make efforts to improve the performance of the ministry that is shaded.
  4. Provide advice/input/recommendations regarding the problems faced by the ministry that is shaded.
  5. Representing the Student President and Student Vice President in every coordination agenda with the institution as long as it is needed.
  6. Supervise and evaluate all ministerial functionaries under the auspices, both openly and privately.
  7. Recapitulating data on regulatory violations carried out by BEM functionaries at the ministries that are shaded and acting as law enforcers.

E. MINISTRY OF SECRETARIAT

  1. Fully responsible for BEM's internal secretariat
    1. Making notification of activity reports, compiling decision letters, outgoing letters, and all letters/files in any form needed.
    2. Record outgoing mail, archive incoming mail, and archive all forms of important files.
    3. Prepare proposals, LPK and LPJ and all required files.
  2. Coordinating, fostering and managing the secretarial affairs of HMJ, UKM and OKM.
    1. Responsible for filing activity report notifications, and all forms of files needed in optimizing student activity services.
    2. Conduct training and seek to increase the capabilities of HMJ, UKM and OKM secretaries.
    3. Establish rules and systems regarding HMJ, UKM and OKM secretariat.

F. MINISTRY OF FINANCE

  1. Fully responsible for the management and financial arrangement of BEM
    1. Create, plan and manage budget funds in the activities or activities carried out by BEM which include distribution, income, and expenditure.

G. MINISTRY OF COMMUNICATIONS

  1. Responsible for BEM's social media accounts.
  2. As a forum, distributor, and share aspirations and information related to all information on the activities of the Polines Student Executive Board which is expected to create good communication between the campus, students and the community.
  3. Supervise social media that has been attached to KBM Polines.
  4. Independent in publishing various events and phenomena that occur inside and outside the campus.
  5. Cooperating with External Media in delivering information/news.
  6. Become a database center for all information by collaborating with the Ministry of Secretariat.

H. MINISTRY OF HOME AFFAIRS

  1. Responsible for Service to Ormawa and Students
    1. Has full power over the one get service system and SIPERA which is directly related to the institution.
    2. Carry out place-loan services and arrange place-loans as well as possible.
    3. Carry out the function as a bridge and synergize all Ormawa in Polines
    4. Establish all the rules needed to maintain the stability of the teaching and learning process.
    5. Conducting HMJ visits to absorb aspirations and communicate all Ormawa activities as well as maintain the stability of teaching and learning activities, at least once every three months.
    6. Responsible for bureaucratic socialization.
  2. Coordinate the sustainability of the Ormawa work agenda/programs
    1. Carry out periodic monitoring and evaluation of HMJ performance, by conducting direct checks on each HMJ and any approaches needed.
    2. Supervise and evaluate the performance of UKM by coordinating with the ministry that oversees the UKM.
  3. Responsible for office inventory and coordinating office cleanliness
    1. Maintain and create BEM office inventory data.
    2. Make a weekly picket schedule as a form of effort to maintain the cleanliness of the BEM office.

I. MINISTRY OF STUDENT RESOURCES DEVELOPMENT

  1. Responsible for loyalty, solidarity in order to achieve harmony and synergy within BEM
    1. Become a place for counselors for all BEM functionaries by coordinating and collaborating with the coordinating minister.
    2. Conducting observations and coaching to improve the capability of BEM functionaries for the effectiveness of BEM's work.
    3. Coordinate with other ministries to conduct training of BEM functionaries.
  2. Responsible for the regeneration and recommendation of BEM Functionaries for the next period
    1. Responsible for the formation and development of young BEM staff.
    2. Develop curriculum for BEM youth staff training.
    3. Create an assessment mechanism for BEM young staff.
  3. Coordinate and manage HRD affairs at HMJ and UKM
    1. Responsible for the capability, solidarity, loyalty of SME and HMJ functionaries through PSDM in the concerned Ormawa.
    2. Perform routine coordination at least once every two months with the Head of Department/Head of Division/Head of PSDM HMJ and UKM to control functions.
    3. Develop minimum curriculum guidelines for PENDAS, BASIC LKMM & MADYA LKMM based on the curriculum from the Ministry of Research, Technology and Higher Education and make standardization of regeneration for HMJ and UKM.
    4. Conduct strategic training activities to improve the capability of HMJ and SME functionaries.
    5. Provide recommendations to HMJ and SMEs in the field of HR development.
  4. Responsible for improving aspects of organizational skills, leadership, communication, creativity for students.
    1. Implement Intermediate LKMM and strive for Advanced LKMM.

J. MINISTRY OF RELIGION

  1. Formulation, determination and implementation of policies in the field of religion within the scope of BEM and KBM
  2. Polines. Supervise the implementation of the "Student Spiritual Improvement (PESIMA)" program organized by the institution so that it can be implemented optimally.
  3. Maintain harmonious relations and tolerance among religious communities in Polines.
  4. Maintain coordination with the Response shelter community.
  5. Organizing monthly coordination with UKM in the Religious Sector and/or in the Religious Sector in the Student Association of Departments at Polines.
  6. Holding activities of a religious nature in order to improve the spiritual aspects of every religion in Polines.
  7. Seeking spiritual improvement for BEM functionaries through routine activities and agendas regulated by the ministry of religion.

K. MINISTRY OF TALENT INTEREST

  1. Synergy of interest in talent circle between UKM and HMJ.
    1. Provide assistance and become a coordinator related to activities involving interest and talent Ormawa.
    2. To mediate and provide solutions in solving problems that arise in Ormawa's interests and talents.
    3. Become a partner of student organizations in the fields of interests and talents in conducting competitions, selections, and agendas at the Polines level.
  2. Carry out strategies and develop plans for improving the achievement of Polines students in talent interests.
    1. Develop a plan to increase the achievement of Polines Students in interests and talents.
    2. Assisting and escorting outstanding students in obtaining competition funding from institutions.
    3. Supervise outstanding students in the fields of interest and talent in obtaining appreciation for achievements at the institution.

L. MINISTRY OF RESEARCH AND REASONING

  1. Overseeing HMJ and UKM in the field of reasoning and/or science.
  2. Actively participate in developing a culture of scientific thinking for all Semarang State Polytechnic students with various media (audience and literacy).
  3. Take an active role in increasing the achievement of Polines students at the polytechnic, national, and international levels.
  4. Provide support for improving the writing culture and creativity of students by providing information on competitions, and specifically socializing competitions held by the government, especially PKM and PHBD.
  5. Looking for scholarship info, both scholarships from internal campuses and scholarships from external campuses to be forwarded to Polynes Students.
  6. Scientific data facilitator to support and improve the culture of achievement in the Polines environment.
  7. Active in updating the Polines Student achievement database.

M. MINISTRY OF ADVOCACY AND STUDENT WELFARE

  1. Optimizing the absorption of student aspirations
    1. Supervise issues and policies issued by the campus bureaucracy.
    2. Conduct advocacy regarding the aspirations of Polines students towards campus bureaucratic policies.
    3. Provide assistance that aims to help students who experience academic and financial difficulties.
    4. Establish coordination and good relations with the necessary parties related to student welfare.
  2. Encouraging the realization of the Ministry of Education and Culture program at the Semarang State Polytechnic and escorting post-student programs or partners as a form of guaranteeing student rights which are facilitated and provided by the campus.

N. MINISTRY OF CREATIVE ECONOMY

  1. Overseeing and coordinating Kopma SMEs and Entrepreneurship SMEs engaged in the field of entrepreneurship.
  2. Accommodating students in developing their business through social media.
  3. Carry out mature and targeted efforts to increase profits for both BEM, HMJ and UKM.
  4. Encouraging students' independence, creativity and innovation in the field of entrepreneurship
  5. Implementation of coordination and synchronization of planning for the implementation of development policies for HMJ and UKM financial programs.
  6. Become a driving force for creative businesses and collaborate in sponsorships or business partnerships at BEM.
  7. Become a facilitator to accommodate Polines students who have an interest in the world of sociopreneurs.

O. MINISTRY OF SOCIAL COMMUNITIES

  1. Coordinating and providing advice and input as well as recommendations to KBM on campus internal horizontal movements.
    1. Overseeing UKM Menwa, UKM Racana Pandawa, and UKM KSR as UKM under the auspices of the ministry of social society.
    2. Provide advice and input on Community Service activities of KBM Polines, especially HMJ.
    3. As a facilitator for Polines students to contribute to community social activities.
    4. Improving the social spirit of students for the general public, as well as helping the community in solving social problems

P. MINISTRY OF SOCIAL POLITICAL

  1. Revitalizing and consolidating efforts related to external discourse.
    1. Participate and network with BEM SI and BEM SERA.
    2. Overseeing socio-political issues covering community and student affairs at the local to national level.
    3. Make research-based studies and data as the basis for addressing an issue.
    4. Instilling awareness of intellectual literacy culture in order to educate and provide insight about democracy to Polynes students.
    5. Organizing social-related activities to make it easier for the public to understand the results of socio-political studies and to raise critical awareness of local and public policy responses.
    6. Making construction and coordinating actions in every internal element of the campus.
  2. Improving the implementation of the Women's Forum
    1. Educate students related to women's topics.
    2. Provide the latest information related to women's forums.
  3. Encouraging the guarantee of freedom of opinion and expression.
  4. Involve voice or student participation in network involvement to the fullest.
